Collect interest with a deadline, separate definite players from maybes, and ask how many are complete beginners. Share the final number, date window and company details for a quote.

Build a budget that procurement can read

A useful budget separates court time from the extras that turn a booking into an organised event. That keeps approvals clear and prevents last-minute assumptions.

List courts, duration, equipment, coach or host, refreshments, transport, awards and taxes as separate lines. Ask which items the venue can supply and which the company must arrange.

Budget per attendee only after the headcount and inclusions are confirmed. Keep a small contingency for late changes, but do not hide uncertain costs inside a vague package line.

Questions to ask the venue

A clear vendor conversation prevents most event-day confusion. Ask about the exact deliverable rather than relying on words like package or hosted event.

Cover availability, capacity, exclusive use, equipment, coaches, format, food, water, washrooms, parking, branding, billing, tax documentation, cancellation and weather policy.

A repeatable quarterly-event checklist

Quarterly events repeat, so document the plan that worked. Headcount, game length and transport notes will be more useful next quarter than a folder of photographs.

Confirm objective, budget owner, date, RSVP deadline, courts, equipment, food, travel and contact person. Build rotations only after RSVPs close.

Afterward, record attendance, actual spend and one sentence of feedback. Ask whether the same format should return or whether the group wants coaching next time.

When employees bring their families

Pickleball can give a family day an active centre, but ages and experience levels vary widely. The plan needs separate formats rather than one serious tournament.

Create beginner demonstrations, family rally challenges and short adult games. Children should join only within the venue’s age, coaching and supervision arrangements.

Collect child ages in advance, confirm equipment and supervision, and keep HR responsible for consent and emergency contacts. Ask the club what it can support.
