Before the event day
Close RSVPs, separate confirmed players from spectators and count complete beginners. Give the venue the final headcount rather than the original invitation list.
Confirm courts, equipment, facilitation, refreshments, billing, cancellation terms and the on-site contact in writing. The normal PaddleKraft hourly rate is not a complete corporate event quote.
Send employees one concise note with the Moshi map pin, arrival time, sports-clothing guidance and a reminder that participation can be adapted for comfort.
A simple two-hour flow
Use the first fifteen minutes for check-in, safety and a short rules demonstration. Follow with fifteen minutes of cooperative rallies so new players touch the ball before scores matter.
Run three or four short rotation rounds, leaving a visible break between them. Finish with a friendly final or team challenge only after every confirmed participant has had a fair playing turn.
Keep the last ten to fifteen minutes as buffer, photographs and closing. A schedule with no buffer becomes inaccurate after the first close game.
Assign real owners
Name one HR lead, one venue contact and one person responsible for calling rotations. If prizes or refreshments are included, name owners for those too.
The rotation lead should have the player list in a form that is easy to update. Last-minute absences should not force the entire event to stop while the bracket is rebuilt.
After the event, record attendance, actual spend and one question of feedback. Those three details make the next outing easier to approve and organise.
