Separate the core venue cost

The quote should state the date, start and finish time, number of courts and whether use is exclusive. It should also name the expected headcount on which the plan is based.

Ask whether setup, warm-up or briefing time sits inside the booked court window. A two-hour event can contain less than two hours of match play once arrivals and instruction are included.

At PaddleKraft, ₹600 per hour is the standard court rate. Corporate pricing depends on the group and agreed additions, so the two figures should not be treated as interchangeable.

List the additions one by one

Equipment, coaches, event hosts, refreshments, branding, trophies and photography should appear as separate lines or clearly named inclusions. “Complete package” is not enough for procurement.

Confirm quantities: number of paddles, coaches, water bottles or snack portions. Ask which items the company must provide and whether outside vendors are allowed.

If transport or parking support matters, include the responsibility in the planning note even when it is not a venue charge.

Check the commercial terms

Ask whether taxes are included, what payment schedule applies and which billing documents can be provided. Confirm the cancellation, rescheduling and no-show terms.

Record what happens if the confirmed headcount changes. A quote for twelve people may not produce the same experience for thirty people on the same two courts.

Choose the option that makes the scope clearest, not simply the one with the shortest total. Hidden assumptions are usually more expensive on event day.
